1. Who we are

hiredoc is operated by APPHIVE TECHNOLOGIES LTD (company number 15906964), registered at Unit 34 182-184 High Street North, Area 1/1, East Ham, London, United Kingdom, E6 2JA. In this policy, “we”, “us”, and “our” refer to APPHIVE TECHNOLOGIES LTD. hiredoc is a product of Apphive Technologies.

2. What data we collect

Depending on how you use hiredoc, we may collect:

  • Account information — email address, display name, and profile photo when you sign up (including via Google sign-in).
  • Resume and career content — employment history, education, skills, achievements, contact details, and any text you upload or enter during the interview flow.
  • Onboarding answers — responses to our intake quiz about your job search situation.
  • Usage data — information about how you interact with the service, such as pages visited and features used, collected through our hosting and application logs.
  • Waitlist information — email address if you join our launch waitlist.
  • Payment information — we do not store full card details. Payments are processed by our payment provider; we receive confirmation of purchase and related billing metadata.

3. How we use your data

We use your personal data to:

  • Provide and maintain the service, including AI-assisted resume analysis, guided interviews, and document export.
  • Create and manage your account and authenticate your sessions.
  • Process payments and manage entitlements.
  • Send service-related communications and, where permitted, product updates or marketing (you can opt out of marketing at any time).
  • Improve, secure, and troubleshoot the service.
  • Comply with legal obligations.

4. AI processing

hiredoc uses artificial intelligence to analyse resume text, conduct guided interviews, and generate resume content. Your resume text and interview messages are sent to our AI provider (OpenAI) for processing. We do not use your content to train our own models. OpenAI processes data under its own terms and privacy policy. Please do not submit information you are not comfortable sharing with these processors.

5. Who we share data with

We use trusted third-party service providers who process data on our behalf, including:

  • Google Firebase — authentication and cloud database storage.
  • OpenAI — AI processing of resume and interview content.
  • MailerLite — email list management for waitlist and account-related communications.
  • Netlify — application hosting.
  • Payment processors — to handle purchases (details provided at checkout).

We may also disclose data if required by law, to protect our rights, or in connection with a business transfer. We do not sell your personal data.

6. Cookies and similar technologies

We use essential cookies to keep you signed in. When you log in, we set a secure, HttpOnly session cookie that expires after a limited period. We do not use this cookie for advertising. You can clear cookies through your browser settings, but you will need to sign in again.

7. How long we keep data

We retain your data for as long as your account is active and as needed to provide the service. If you request deletion, we will delete your account and associated data promptly — typically without undue delay and, in ordinary circumstances, right away once your request is verified.

We may retain limited information where required by law or for legitimate purposes such as fraud prevention, dispute resolution, or enforcing our Terms of Service.

8. Your rights

If you are in the United Kingdom or European Economic Area, you have rights under UK GDPR and applicable data protection law, including the right to access, correct, delete, restrict, or object to certain processing, and the right to data portability where applicable. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

9. International transfers

Some of our service providers are located outside the United Kingdom. Where personal data is transferred internationally, we take appropriate safeguards to protect it in line with applicable law.

10. Security

We implement reasonable technical and organisational measures to protect your data, including encrypted connections and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children

hiredoc is not intended for anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated by email or in-app notice where appropriate.
